Order an e-Card online

The Order e-Card service is for immediate prepaid purchases. Choose a published value, provide the recipient information at checkout, and pay online. It does not require fleet approval.

How to order

  1. Open Order e-Card and choose an available $25, $50, or $100 card.
  2. Add the card to your cart and proceed to checkout.
  3. Enter the recipient name and email. A phone number, address, and personal message are optional.
  4. Review the card value and recipient details, then complete payment using an available checkout method.
  5. After payment is confirmed, the e-Card is generated and delivered electronically. Keep the complete code private.

Buying for yourself

Use your own recipient details when buying for yourself. Sign in to My Account to review eligible cards, balances, reloads, transfers, and transaction history.

Apply for a Fleet e-Card account

Fleet e-Card is for companies, government teams, and families that need centrally managed cards for multiple vehicles or authorized users. It is an application-based service, not an instant online card purchase.

What makes Fleet e-Card different

  • A prepaid e-Card is purchased and paid for immediately; a fleet account is reviewed before cards or billing privileges are issued.
  • Fleet cards can be organized around vehicles, drivers, departments, or other approved users.
  • The application records requested card quantity, funding preference, vehicles, authorized users, and operational controls for manager review.
  • Postpaid billing is not automatic. It requires approval, agreed terms, and any additional verification requested by Long Bay Express.

Application and approval process

  1. Open the Fleet e-Card application and provide accurate organization, contact, vehicle, user, and funding details.
  2. Submit the application. It is stored privately for authorized Long Bay Express managers and is not published on the website.
  3. A manager reviews eligibility, requested controls, funding method, and any postpaid requirements.
  4. Long Bay Express contacts the applicant with approval, requested changes, supporting-document requirements, or a decision.
  5. Cards and account access are created only after approval. Submitting the form does not create an e-Card, customer order, balance, or credit account.

Use your e-Card

View and claim cards

  1. Sign in and open My Account, then select Gift Cards.
  2. Review each card balance, status, expiry date, and transaction history.
  3. To claim an eligible card, select Claim Gift Card and enter its complete code.

Reload an eligible card

  1. Select Reload on a reloadable, non-expired card that you own.
  2. Enter an amount that meets the displayed limits and continue to checkout.
  3. Complete payment. The balance changes only after the order is paid.

Transfer or spend online

Use Transfer only when the option appears on an eligible card. To spend online, enter the e-Card code in the gift-card field at cart or checkout and pay any remaining amount with an available payment method.

Cashier guide

Process an in-store e-Card sale

  1. Sign in with your individual cashier account and confirm Gift card service ready.
  2. Scan the card with the phone camera or enter its code, then select Check card.
  3. Verify the balance, status, expiry, and PIN requirement before proceeding.
  4. Enter the full sale total and the amount to charge to the e-Card.
  5. For split payment, select cash or debit/credit card for the remaining tender.
  6. Enter the receipt, pump, or sale reference and the PIN when required.
  7. Confirm the amounts, select Charge gift card once, and wait for Payment approved.
  8. Print the receipt when required and sign out when leaving the register.
Important

Cash or card remainder is recorded for reconciliation. Complete the actual cash collection or external terminal charge before releasing goods.

Manager guide

Manage e-Cards and controlled corrections

Open WooCommerce > e-Card to search cards, inspect balances and history, generate cards, export records, and review reports.

Edit website pages

Open Appearance > Page Editors for direct access to the Homepage, WooCommerce Shop, Order e-Card, User Guide, and every saved WordPress page. The Shop Editor is also available under WooCommerce > Shop Editor.

Use the page editor for headings and page copy. Use Products for product names, images, prices, stock, and categories; use WooCommerce settings for cart, checkout, account, tax, shipping, and payment behavior.

Edit the online shop

Use Products to manage product names, descriptions, images, prices, stock, and categories. Use Appearance > Shop Editor to change the public shop heading, introduction, empty-shop message, and products shown per page.

Review fleet applications

Open WooCommerce > Fleet Applications to review company, government, or family fleet requests. Verify the applicant, vehicles, users, controls, and funding requirements before approval. Postpaid requests require separate approval and agreed terms.

Create approved fleet cards

  1. Open WooCommerce > e-Card > Fleet and enter the approved company and main fleet manager email.
  2. Optionally enter a company code prefix and expiry date for the batch.
  3. For each card, enter the assigned user name and email, vehicle, plate or identifier, and opening card value.
  4. Use Add Another Card for each additional vehicle or user. Each card can have a different value, up to 100 cards per batch.
  5. Choose whether missing manager and assigned-user customer accounts should be created, review every row, and select Create Fleet Cards once.
  6. Open All Gift Cards to verify the company, user, vehicle, plate or identifier, manager, and opening balance.
Fleet account roles

The card user is assigned one card. The fleet manager can monitor all company cards and receives their transaction emails. The original delivery email may be different from either account.

Reverse a POS redemption

In Manager operations, enter the original transaction ID and a required reason. A valid POS redemption can be reversed only once. The balance is restored, a refund record is created, and the linked order is marked refunded.

Change card status

Enter the card code, choose Active or Inactive, and record the reason. Expired or zero-balance cards cannot be activated from the POS.

Give every cashier a separate Gift Card Cashier account. Never use a shared merchant account at the register.

Troubleshooting

Common problems

Gift card not found

Check the code and scan again. If it is still missing, ask a manager to search All Gift Cards. Do not create a replacement without authorization.

Card is inactive, expired, or depleted

Cashiers cannot override card status. Refer the customer to a merchant manager.

Insufficient balance

Reduce the e-Card amount to the available balance and collect the remainder through the normal payment process.

Camera will not scan

Allow camera permission, use a current browser over HTTPS, improve lighting, close other camera apps, or enter the code manually.

Transaction could not be recorded

Do not repeatedly charge the card. Record the time, cashier, code ending, amount, and sale reference, then ask a manager to inspect the transaction history.

Protect every account

Security essentials

  • Never share passwords or cashier accounts.
  • Treat active e-Card codes like cash and never publish complete codes or PINs.
  • Verify the amount, card, and reference before charging.
  • Sign out of shared devices after every shift.
  • Never send customer payment-card details in a support request.
